GST Registration Process Explained Step-by-Step

If you're a business owner in India, understanding the Goods and Services Tax (GST) is crucial. And for many, the first step is getting your business registered under GST. While the idea of government portals and complex forms can be daunting, the online GST registration process in India has been designed to be fairly straightforward.

Who Needs to Register for GST? Eligibility Criteria

Before diving into the process, it's essential to determine if your business is even required to register for GST. Here's a quick overview of the key eligibility criteria:

  • Threshold Limit:
    • For Goods: If your aggregate annual turnover exceeds ₹40 lakhs (₹20 lakhs for special category states like Northeastern states and hilly states).
    • For Services: If your aggregate annual turnover exceeds ₹20 lakhs (₹10 lakhs for special category states).
  • Inter-State Supply: If you supply goods or services across different states, GST registration is generally mandatory, regardless of your turnover.
  • E-commerce Operators: If you operate an e-commerce platform or supply goods/services through one, GST registration is typically required.
  • Casual Taxable Persons: Individuals who occasionally undertake taxable supplies in a state where they have no fixed place of business.
  • Non-Resident Taxable Persons: Non-residents supplying taxable goods or services in India.
  • Reverse Charge Mechanism (RCM): Businesses liable to pay tax under RCM.
  • Existing Taxpayers: Those already registered under previous tax regimes (VAT, Service Tax, Excise Duty, etc.).

Important Note: Even if you don't meet the mandatory criteria, you can voluntarily opt for GST registration. This can be beneficial for claiming Input Tax Credit (ITC) and expanding your business across states.

  • Navigate to New Registration: Click on "Services" > "Registration" > "New Registration."
  • Select Taxpayer Type: On the "New Registration" page, select "Taxpayer" from the "I am a" dropdown list.
  • Enter Basic Details:

  • TRN Generation: Upon successful OTP verification, a 15-digit Temporary Reference Number (TRN) will be generated and displayed on the screen. This TRN will also be sent to your registered email and mobile number. Note this TRN down carefully, as it's crucial for completing the next part of the application. The TRN is typically valid for 15 days.

Part B: Filling the Detailed Application and Uploading Documents

  • Login with TRN: Go back to the GST Portal and click "Services" > "Registration" > "New Registration" again.
  • Enter TRN and Captcha: Enter your TRN and the captcha code, then click "PROCEED."
  • OTP Verification (Again): A new OTP will be sent to your registered mobile number and email ID.
  • Access Your Draft Application: Your application status will show as "Draft." Click the "Edit" icon (a pencil icon) to start filling out Part B of the registration application (Form GST REG-01).

Part B consists of several sections. You need to fill in all the details accurately and upload the required documents in each section:

  • Business Details:

    • Constitution of Business Select your business type (e.g., Sole Proprietorship, Partnership, Private Limited Company).

  • Additional Places of Business (if any): If your business operates from multiple locations within the same state, provide details and address proof for each.

  • Bank Accounts: Provide details of your bank accounts (up to 10 accounts) used for business purposes. While not mandatory at the time of initial registration, it's highly recommended to provide them. You'll need to upload a copy of a cancelled cheque or bank statement.
  • State Specific Information (if applicable): Fill in any additional details required by your specific state.
  • Aadhaar Authentication: This step is crucial and highly recommended. If you opt for Aadhaar authentication, the approval process is generally faster (typically 3-7 working days). You'll receive a link on your registered mobile number and email for Aadhaar authentication.
  • Verification: Tick the declaration box, select the Authorized Signatory, and choose the place.
  • Submission:

    • Aadhaar e-Sign: If you opted for Aadhaar authentication.

After Submission: Application Reference Number (ARN) & Beyond

  • ARN Generation: Once you successfully submit the application, an Application Reference Number (ARN) will be generated and sent to your registered email and mobile number. This ARN is your unique tracking ID for your application.
  • Tracking Application Status:You can track the status of your application on the GST Portal using your ARN: "Services" > "Registration" > "Track Application Status."
  • Clarifications/Notices: (if any) The GST officer may review your application. If they require any further information or clarification, they will issue a notice in Form GST REG-03. You need to respond to this notice by filing Form GST REG-04 with the required details/documents within 7 working days.
  • Approval and GSTIN: If the officer is satisfied with your application and documents, your GST registration will be approved. You will receive a GSTIN (GST Identification Number) and a Certificate of Registration (Form GST REG-06) via email. This usually takes 3 to 7 working days with Aadhaar authentication, and longer without it.
  • Rejection (Rare): In rare cases, if the application is found to be deficient or incorrect, it might be rejected, and you will be informed via Form GST REG-05.
